Instructions for presentations at the conference

 

CHANGE IN SPEAKER OR CANCELLATION: As a courtesy to the audience and to your session chair, please let us know as soon as possible if there is a change in your presentation. If there is some last minute difficulty, please arrange for one of your co-authors to present your paper rather than cancelling it.

1. Symposia

1.1 Instructions for individual presenters:

Each individual presentation duration and time for questions will be managed by the symposium coordinator. Individual presentations are suggested to last a maximum of 15min.

Please be present at your session room 15min before the session starts, to upload your presentation to the computer (PC Windows) available in your session room.

1.2 Instructions for symposia coordinators:

The symposium time management is at the discretion of the symposium coordinator but should not in any case exceed a maximum duration of 90 min including Q&A/discussion. At the beginning of the session, the symposium coordinator may present a short presentation introducing the symposium.

If the symposium has the maximum number of presentations allowed (5), the following organization is suggested: 1) Symposium introduction by the coordinator (3min); 5 individual presentations (15min each); 3) Q&A/discussion (12min). Optionally, the time for each individual presentation could be reduced to 12min and allow more time for the Q&A/discussion.

 

2. Oral presentations and poster presentations

 

2.1 Instructions for oral presentations:

Your presentation is limited to 15min not including time for questions. Time for questions will be available at the session’s end and will be managed by the session chair.

Please be present at your session room 15min before the session starts, to upload your presentation to the computer (PC Windows) available in your session room.

Session chairs will be requested to be strict in the time management, so please manage your time adequately.

2.2 Instructions for poster platform presentations (written+oral presentation):

The poster platform is a hybrid session with both a written & oral presentation of one individual communication, divided into two parts:

Part 1 – Oral presentation: each poster author will have a maximum of 3-5 minutes for presenting their work to the audience (powerpoint presentation is optional). There will be a maximum of 8 presentations per session, totalling a maximum of 40min for all presentations. The session chair will introduce each presentation and manage the available time for each presentation.

Part 2 – Immediately after all the session’s presentations have ended, presenters will stand next to their poster and have time for a more personalized individual discussion (Q&A) of the poster and response to individual queries.

For the written presentation component, each presenter will be assigned a space to hang the poster. The presenter is responsible for assembling the poster 30min prior to the poster platform session and removal of his/her poster at the end of the session.

The poster dimensions should be a maximum of 841mm × 1189mm (A zero format). All lettering should be legible from at least 120cm away. Please contact the conference secretariat at the day of you presentation, to request materials for hanging the posters.

2.3 Instructions for standard poster presentations (written presentation only):

Each presenter will be assigned a space to hang the poster, at the conference hall between room #1 and room #2 of the venue. The presenter is responsible for assembling the poster 30min prior to the poster session and removal of his/her poster at the end of the session.
